Workflow automation: more progress, less chasing

Imagine a working day when people can see their request’s progress and the next team receives its task without waiting for a reminder. Workflow automation can support that routine when approval rules and responsibilities are clear.

Approved work reaches the next team

A useful change is that approval leads directly to an assigned next step. Purchasing receives work it can act on, and the requester can see where things stand. People have less need to reconstruct the handoff from email before getting on with their work.

Synthetic example: a coordinator submits an office-supplies request for 4,800 Saudi riyals (SAR), with a purpose and cost centre. In this invented policy, requests up to SAR 5,000 need the department manager’s approval. Larger amounts need the manager and then finance. Use your company’s approved authority rules in a real process.

After approval: the workflow assigns one internal task to purchasing and shows the requester “With purchasing”, with the task reference. The decision remains human. This example neither places an order nor releases payment.

The coordinator can check progress without asking who has the request. Purchasing has a recorded task to work from. With that handoff visible, routine status questions could take less attention, leaving the team more time for work that needs discussion or judgement. These are intended benefits of the example, not measured client results.

Follow-up goes where it is needed

The same visibility can help a manager focus on requests that need attention. A missing cost centre goes back to the requester for correction; a rejection closes the request without a purchasing task. Staff can see what is needed next instead of treating every delay alike.

Delayed approvals still need a follow-up time and an authorized deputy. Silence must not count as approval, and a changed amount needs fresh decisions. If the system loses contact while creating the purchasing task, the operations lead checks whether it exists before trying again.
