Choose workflow automation tools that keep work moving

Your team should be able to open a new project and find the agreed work, the person responsible and the next step together. When choosing workflow automation tools, test one familiar handoff to see whether the next team gets what it needs, including when information is missing.

Start with the handoff your team wants

Picture a services company ready to start a newly agreed project. Sales has the signed agreement; delivery needs the work description, start date and responsible manager. A useful workflow brings those details into the project record and keeps sales informed, so both teams can prepare without rebuilding the story from messages.

Write that outcome before making a shortlist. Name the systems that hold the agreement and project, who reviews the handoff and who can see or change it. If your existing system can handle the whole process reliably, test that option too. Another subscription is worthwhile only if it adds something your team needs.

Give every platform the same trial

Synthetic example: project H-040 has an agreement reference, work description, start date and delivery manager. The manager reviews those details. Only approval allows one internal setup task to be created; its reference then appears beside the project. This is an invented test, not a client result or a working connection to any vendor.

Now remove the delivery manager. The request should return to sales with a clear reason and create no task. Submit the approved project twice: the existing task should appear, without a second copy. If the task system stops responding, show “Check required” until the owner confirms whether the task exists.

Use the downloadable scorecard and test records to compare each candidate against the same requirements: system connections, human review, failed steps, access controls and everyday upkeep. Keep an untested requirement marked “Unknown”. A missing essential capability cannot be cancelled out by attractive extras.

A platform passes this exercise only when the people using it can follow both normal work and exceptions. The sample demonstrates the proposed rules on paper. Set up and try the same workflow in each shortlisted tool.

Choose a routine your team can sustain

Ask a second colleague to change an owner, find a failed handoff and explain the recovery step. Agree who monitors the workflow and who takes over when its builder is away. That is part of making the new routine dependable.

Compare recurring costs for the same expected workload. As checked on 2 October 2026, Power Automate offers per-user licensing and a separate Process plan for running automation. Zapier pricing varies by plan and task allowance: these tasks are billing units for automated actions, not your team's setup tasks.

For either product, confirm the required connections, team access and controls in the actual plan. Include setup, maintenance and any extra usage charges. The lowest starting price does not establish the lowest cost for your process.
